TERMS

FieldCerta Terms of Service

Effective September 14, 2026. These terms apply to organizations and authorized users of the FieldCerta service.

Organization accounts

Each organization is responsible for its workspace, connected Google Drive, users, jobs, and access codes. Administrators must have authority to connect the selected Drive account and assign access to other users.

Access and roles

Users must protect their four-digit access codes, email sign-in links, and signed-in devices, and use only the workspace and features assigned to their role. Administrators are responsible for keeping manager and administrator email addresses current, promptly disabling access, and revoking devices that are no longer authorized. Activity performed with a valid code, email link, or active device session is treated as activity by the assigned user.

Managers and administrators may create, edit, close, and reactivate jobs. Closing a job prevents new photo uploads but preserves its existing records and photos.

Photos and location

Users and organizations are responsible for having permission to photograph a location and for complying with workplace, customer, privacy, and recordkeeping requirements. They must not upload unlawful, harmful, or unrelated content.

Timestamps, street addresses, and GPS coordinates depend on the phone, browser, network, and mapping service. FieldCerta does not guarantee that this information is exact or suitable as the sole record for legal, safety, payroll, or compliance purposes.

Google Drive

By connecting Google Drive, the administrator authorizes FieldCerta to create folders and to upload, retrieve, download, and delete app-managed photos. The Drive account owner remains responsible for account security, available storage, sharing settings, retention, and backups.

Photo management

Authorized employees, managers, and administrators may view and download workspace photos. Administrators may delete photos. Deletion can be permanent, so organizations should keep any backups required for their operations.

Pending photos may remain temporarily on the capture device until an upload is confirmed. Users should verify the uploaded status before signing out, clearing browser or app data, uninstalling the app, or discarding a pending photo.

Service availability

Features depend on camera and location permissions, internet access, Google services, mapping services, and hosting providers. The service may be updated, interrupted, or unavailable from time to time. To the extent permitted by law, FieldCerta is provided as available without a guarantee of uninterrupted or error-free operation.

Suspension and changes

Access may be suspended when necessary to protect the service, other organizations, or connected accounts, or when these terms are violated. These terms may be updated as the service changes; the effective date above identifies the current version.
